Excel has long been the first instinct for Moroccan SMEs tracking their stock: free, familiar, flexible. But past a certain volume or team size, its limits become real risks for the business. Here's why and how to migrate smoothly to real inventory management software.
Excel's limits for inventory management
Excel quickly shows its limits as a business grows:
- No real time: two people editing the file at once create conflicting versions, and no one notices right away.
- No automatic alerts: stockouts or upcoming expiries are only caught if someone thinks to check the file.
- Data entry errors: a broken formula or a badly copied cell can silently throw off an entire inventory.
- No traceability: no easy way to know who changed what, and when, without a rigorous version history.
- No link to invoicing or point of sale: stock has to be updated by hand after every sale.
Signs it's time to migrate
If you recognize at least two of these situations, switching to dedicated software is likely worth it: your Excel file has grown to thousands of rows and is slow to open, several people need to access it at once, you regularly find gaps between theoretical and actual stock, or you waste time copying data between stock, sales and invoicing.
Steps for a successful migration
1. Clean your data before migrating. Remove duplicates, standardize product names and units of measure. A clean import saves months of fixing things afterward.
2. Do a reference physical count. Migrating with an inaccurate theoretical stock just carries the error into the new system. A physical count at cutover gives you a reliable starting point.
3. Import your data into the new software. Most serious software accepts a direct import from an Excel or CSV file — no need to re-enter everything by hand.
4. Train your team before the full switch. Plan an overlap period where the team gets familiar with the new tool while the old system stays available as a fallback.
5. Set a clear cutover date. Running Excel and the new software in parallel for too long recreates the same double-entry problems you were trying to avoid.
